Download all your data and leave with it

Take one checked file holding your products, customers, orders and settings, and see what it does and does not contain.

User guide
These guides describe implemented workflows. You still need an account and access to the product; individual features can have separate requirements.

Where: Dashboard, Settings, Your data

Your data is yours, and you can take all of it at any time. Open Settings and look for Your data at the top of the page. Select Download all my data. The same button works while Commerce editing is paused, while a payment is overdue and after a subscription has been cancelled. Only the shop owner or an admin sees it. Staff members, and Kyloth staff viewing as a seller, cannot download it.

  1. Sign in on the seller dashboard as the shop owner or an admin, open Settings and select Download all my data. The button shows Preparing while Kyloth reads your records. A shop with many orders can take a few minutes; keep the page open until your browser starts the download.
  2. Your browser saves one file named kyloth-commerce-archive with the date, ending in .zip. Kyloth does not keep a copy of it. If you need another, press the button again.
  3. Open the zip. Start with README.txt, which lists every file. The spreadsheets in the csv folder open in any spreadsheet program: your products (archived products are in their own file), customers, orders, and every order line with its order number. Open them with UTF-8 encoding and keep phone numbers as text.
  4. The data folder holds everything else, one table per file, one record per line. These files keep Kyloth's own identifiers, so a developer can rebuild the links between them: an order line to its order and product, a variant to its product, a product to its collections.
  5. To check the file, compare each file's SHA-256 fingerprint with manifest.json, which lists every file with its size and fingerprint, and compare each data file's line count with the row count beside it. If any of them differs, the file was changed after it was prepared and should not be relied on.

What is inside: products with their SKU, HSN, cost, stock and descriptions; product options and variants; image references; specifications; reviews and your replies; collections and which products are in them; size guides and bundles; blog and guide posts; customers; bulk enquiries and back-in-stock requests; orders with totals, tax, discounts, shipping address, payment records, courier and tracking, fulfilment dates and invoice numbers; every order line; discounts and what each applies to; stock adjustments and the stock ledger; shop settings, policies, FAQ, shipping and tax settings, domain records, theme colour changes and page layouts.

What is not inside, and why: picture files stay with Kyloth's image host, and media/manifest.csv lists the address of every original so you can download them yourself while your account is active. Invoices are not stored as PDF files; the invoice number, date, seller and buyer details, items, tax rates and totals are in your orders and order lines. Secrets are left out on purpose: payment links and keys, receipt and download links, and your connected accounts' credentials. Conversations and contacts from Desk, and records from other Kyloth products, are not in this file, because each product exports its own. Shoppers' saved bags and consent records, and Kyloth's own billing and audit records, are also left out. manifest.json lists every exclusion with its reason.

Catalogue and customer spreadsheets from this file can be loaded back: the products spreadsheet imports through Catalog, Import in any Commerce shop, as drafts. Orders cannot be imported into another shop. They are a record of payments, stock and tax, and they are given to you for your accounts, not for replay.

If your shop is larger than one download can hold, or the file cannot be prepared in time, Kyloth refuses the whole request and tells you so. You never receive a partial file that looks complete. Contact support and say that your archive was refused for size. Wait for one download to finish before starting another.

Before you continue
The file contains your customers' names, phone numbers and addresses. Store it privately, share it only with people who need it for your business, and delete copies you no longer need. Having a phone number in the file does not give you permission to send promotional messages to it.
