Fulfilling an order

Moving an order along, and what the buyer sees at each step.

User guide
These guides describe implemented workflows. You still need an account and access to the product; individual features can have separate requirements.

Where: Dashboard, Orders

  1. A new order arrives as placed.
  2. Confirm it once you know you can fulfil it.
  3. Mark it packed when it is boxed.
  4. Mark it shipped, and enter the courier and the tracking number they gave you.
  5. Mark it delivered when it arrives.

That is the path for an order with a parcel. An order with nothing to post — a downloaded file or a course seat — has no packed or shipped step at all: it marks itself delivered the moment your customer downloads the file, with no click from you. For a course, or for a file you have not uploaded yet, you press Mark delivered yourself once the buyer has what they paid for. There is nothing in between to press, because there is no parcel to move it through.

Your buyer sees the same steps on their receipt when there is a parcel to track, and the tracking number becomes a link to their courier's own page. Kyloth does not book pickups or print labels; you ship the way you already ship and record it here.

Doing this fifteen times is the part nobody enjoys, so you can do it once. Tick the orders on the list, then choose Mark confirmed or Mark packed. Kyloth tells you how many moved and how many did not, and why: an order that is already packed cannot be packed again, and one that is still unfulfilled has to be confirmed first.

Shipped and cancelled are not offered in bulk, on purpose. Shipping needs the courier and the tracking number for that particular parcel, and cancelling records the stock-restoration result and cannot be undone. Both are one order at a time.

Cancelling or returning a digital order also switches off its download link, immediately — a buyer who already has the link cannot keep fetching the file after you have cancelled the order or marked it returned. Their receipt says the order ended and points them at you, rather than showing a button that would fail if pressed.

Collect payment on a cash order for a download or a course means exactly what it says on a parcel: the money has not arrived yet. There is no courier to hand it to you here, and there is nowhere in Kyloth to record that you have collected it yourself — the order keeps reading Collect payment even after it reaches delivered, and stays that way unless some other change moves it. Nudge the buyer toward a UPI id at checkout instead, and there is nothing here to collect at all.

The When row narrows the list to a period: this month, last month, or the financial year. The financial year runs from 1 April to 31 March, the same year your invoice numbers restart in, so what you see here and what your invoices say are the same window. Custom takes two dates and includes both of them.

Export downloads whatever you are looking at as a spreadsheet file. Filter to last month first and you get last month; the button says which. The file carries the order number and date, what was paid and how, the money broken into subtotal, discount, shipping and any cash-on-delivery fee, and the buyer's name, phone and address in separate columns so you can hand it to a courier as it is.
