Billing records and cancellation requests
Review retained subscription terms and app access, and record a permanent cancellation request.
User guide
These guides describe implemented workflows. You still need an account and access to the product; individual features can have separate requirements.
Where: Settings → Kyloth billing → Open billing overview
An organization owner can open Billing overview from Commerce Settings. Other business members and staff viewing as a merchant cannot use this page. It shows retained records for the current business; it does not connect a payment provider or enable public subscription purchasing.
- Sign in as the business owner. Open Settings, find Kyloth billing, then choose Open billing overview. If the link is absent, check which business and role you are using or contact support.
- Choose Live or Test and the number of records per page, then select Load billing records. Nothing loads until you choose an environment and request the report. Test records do not establish live payments or access.
- Read each record’s prepared app, tier, amount, cadence and preparation time. Prepared terms do not prove collection. Purchase and cancellation request timestamps describe requests; a cancellation request does not confirm that the subscription has ended.
- Check Current retained observation and its observation time. This is stored information, not a fresh provider lookup. Current period ends is not a promised renewal or charge date. No provider observation recorded means this evidence is absent, not that payment failed.
- Read Current app access separately. It describes the business’s current app grant and is independent of the selected subscription and environment. It does not prove this subscription paid for access. The access tier or status may therefore differ from the prepared terms or observed billing state.
- Use Next page to continue the same environment. Use Start again to refresh from the first page and include records added before the current page. Pages are fresh observations rather than a frozen snapshot. Changing environment or page size clears the previous results.
- If records are unavailable, check access and retry. An error is not an empty result. If there are no retained records, confirm the environment; empty results do not establish that you owe nothing. For a discrepancy, use Get help with your billing records and include the subscription reference, environment and observation time without payment credentials.
- To record a cancellation request, choose Record cancellation request on the relevant billing record. Review the app, tier, environment and reference before choosing Record request. Keep record unchanged closes the confirmation without submitting a new request.
- The request is permanent and has no withdrawal control. For a verified paid subscription, it prepares cancellation for the end of that product’s paid period, with access continuing until then. Only the selected product is affected; other product subscriptions stay unchanged. A purchase that has not started can be blocked from initial processing and first paid activation.
- Check the cancellation status inside Recorded requests. Awaiting verification means the selected product and paid-through date still need evidence. Prepared request shows a verified paid-through date but does not confirm provider scheduling. Provider scheduling is not enabled from this page.
- Instruction accepted, Scheduled for paid-period end and Cancellation confirmed are separate states. Only verified current evidence confirms cancellation. An elapsed date or Current status needs verification is not confirmation. Current app access remains separate, and this request does not issue a refund.
- If the result is uncertain, use Check latest records or Retry same request. Closing the confirmation does not undo a submitted request. After reloading, load the same environment again to check whether the request was recorded. If you lose owner access, ask the business owner to review it; access loss does not undo a committed request.
Before you continue
This overview saves requests and displays retained cancellation progress; it does not submit cancellation instructions to a provider. It cannot take payments, change plans, issue invoices or refund payments. It stays readable while Commerce editing is paused, but loading records does not restore access. Customer checkout payments remain separate from charges for using Kyloth. All displayed times are UTC.
