Set up fees, take payments and issue receipts
Save the receipt details, build a plan for a batch, give it to students, take cash or UPI, and print receipts.
Where: Class → Fees
- An owner or accountant opens Fees, then Plans and receipt details. Choose the institute type: a coaching centre issues a GST receipt and needs its GSTIN; a school issues a tuition receipt with no GST line. The type cannot change once a receipt has been issued. Save the legal name, the printed location and, if you want a QR on the parent page, your UPI id.
- Build a plan for one batch: a name and its instalments with a due date each. The total is the sum of the instalments, and amounts include GST. A plan is never edited; archive it and make a new one. Give the plan to each enrolled student in that batch.
- To take a payment, open Fees, choose the student, and enter the amount. Cash is confirmed on the spot and its receipt is issued. For UPI, enter the bank reference; the payment counts only after someone types the same reference again to confirm it. One bank reference is one payment, and a payment cannot be more than what is still owed.
- A concession needs a reason and records who granted it. Owners and accountants grant and withdraw them; a withdrawal is a new entry, not an edit.
- Open a receipt to print it or save it as a PDF. Coaching receipts show GSTIN, SAC, taxable value and CGST and SGST, or IGST. School receipts show the item and one total. Numbers run in order for each financial year (April to March) with no gaps.
An issued receipt is never changed. To correct one, an owner or accountant reverses it with a reason, which creates a numbered note and counts the money as unpaid again. If the money is handed back, tick the refund box and say how: a refund credit note, with the bank reference for UPI. Only whole receipts can be reversed.
Money on the bank statement that you cannot place goes in Payments not matched to a student. It is not counted until someone matches it to a fee account, which issues the receipt, or an owner or accountant dismisses it with a reason.
The parent page, opened from the guardian's signed link, shows the paying guardian's instalments, what is still due, a UPI QR that carries no amount, and the receipts. Class takes no payment itself: there is no payment gateway, so the QR only helps the parent pay and staff match the money. A teacher cannot open Fees.
