Give staff a Class role and know who sees a child's data

Each staff member gets one role, and each role sees only what that job needs.

Approved preview
These instructions are for users with approved preview access. Reading them does not enable a workspace or open public signup. Check each guide for current limits.

Where: Class → Today → Who can see what

Before you continue
Class is an approved preview. Sign-up is closed. Use invented students and guardians; do not enter a real child's details.
  1. Open Today. An owner or admin sees Who can see what, with every member of the business listed.
  2. Choose a role on a staff member's row: Teacher, Accountant, Front desk, or No Class access. Press Save on that row. Owners always see everything.
  3. Change the role when someone's duties change, or choose No Class access when they leave the office work.
  • A teacher sees only the batches assigned to them and the children in those batches, and marks their registers. A teacher sees no guardian, consent or enquiry.
  • An accountant sees student names and the contact of the guardian who pays fees, and never consent.
  • Front desk works enquiries, adds students, starts consent, keeps batch lists and can mark registers.
  • Owners and admins see everything, including School setup, School placements and the Website.

Class keeps only what the register needs. For a child: the name you call them by, the class or batch label, a school name if you give one, enrolment dates, academic years, sections and moves, and attendance marks. For a guardian: name, relationship, mobile, email if given and preferred language. No date of birth, photo, Aadhaar, caste or category, income, health note, address, marks or phone number for the child is asked for.

Opening a student's full record is logged with ids, never names. The owner's Attention list on Today shows bulk reads, guardian downloads, consent withdrawals and deletion requests from the last seven days, also with ids only. Class records are not shared with Commerce, marketing or AI.
