Correct counts, check checkout holds and see recorded adjustments.

User guide
These guides describe implemented workflows. You still need an account and access to the product; individual features can have separate requirements.

Where: Dashboard, Catalog, a product, Inventory; Catalog, Waiting list

Open a product and find Inventory below its details. Stock changes save separately, so editing a name or price does not replace a count changed by a sale. Choose the option you counted if the product has sizes, weights or other variants.

  1. Check On hand, Held at checkout and Available. Refresh inventory when you need the latest counts.
  2. Choose Adjust stock to add or remove units. Enter a positive number for units added, or a negative number for units removed. Choose Set counted stock to record a physical count instead.
  3. Add an optional reason, review the change, tick the confirmation and press Record stock change.
  4. Check the saved result and the refreshed current stock. They can differ if another sale or correction followed your operation.
  • Not tracked means sales are not limited by a stock count. Set counted stock starts tracking; Stop tracking removes that limit. Neither action cancels existing orders or holds.
  • Zero means sold out. A negative adjustment may leave a negative count, recording a real shortage. Available is the count after checkout holds are taken into account.
  • A physical correction can leave fewer units than shoppers currently hold. The holds remain, and checkout checks the available stock again before accepting an order.
  • Set counted stock and Stop tracking refuse if the count changed after your last refresh. Refresh, check the change and submit it again deliberately.
Before you continue
If the result is uncertain, use Retry same operation. Do not enter the adjustment again as a new change. The original request stays saved in this browser tab across a reload, and new changes pause while you recover its result. Keep this tab and its session storage until the result is known. If a recovered count or tracking change is confirmed as not applied because stock changed, refresh and review it again.

Recorded adjustments shows the latest 50 manual changes, cancellation and return entries. It is not a complete history of sales. New stock operations show their saved before-and-after counts; older entries may show only the number of units moved.

Inventory uses your existing shop access. If that access is removed, refresh and check your access before making another change. Reload the page after switching accounts or shops. An unresolved operation belongs to the account that submitted it; use that same account to recover its result.

When a shopper begins checking out, the stock they are buying is held for them. Two people cannot both buy the last one and find out afterwards.

  • An abandoned checkout hold expires without changing the stock count.
  • After cancellation or return, Stock after this order shows the units restored, not deducted and needing review. Only recorded checkout deductions can be restored to the same stock record and tracking period. Older orders without that evidence receive no automatic stock credit; check the physical count in Inventory.
  • Set a low-stock level per product and your Overview will tell you when something is nearly out and still selling.

When a counted product or size sells out, shoppers see “Tell the shop you want this” on its page and can leave a WhatsApp number. Those people appear in Catalog, under Waiting list.

  • Each person has a Message on WhatsApp link with the words already written. You press it, the chat opens, and they are marked as messaged.
  • Kyloth does not message anyone for you unless you switch on the back-in-stock follow-up under Settings, Follow-ups. It is off until you do, it sends email only, and only to people who agreed to marketing email. Everything else is a message you send yourself.
  • Products with no stock count never show the button — a made-to-order product is never sold out.
