Add, import and maintain customers

Bring in contact records with a review step and keep corrections visible.

Approved preview
These instructions are for users with approved preview access. Reading them does not enable a workspace or open public signup. Check each guide for current limits.

Where: Desk, Customers; Import customers; customer details

  1. Choose Add customer. Enter a name and at least an email or phone number. Relationship begins as Lead and can be changed to Customer.
  2. For a file, choose Import customers. Use Excel or comma-separated CSV, up to 1 MB and 200 data rows. Excel uses the first worksheet. Format phone columns as text to preserve leading zeros.
  3. Match the columns and inspect the numbered errors. Correct invalid rows and upload again. Shared contact details are flagged; they do not silently merge people. Confirm only after reviewing the preview.
  4. Search by name, email or phone and use the relationship filters. Open a record to update contact details. Set Relationship to Inactive to archive it while retaining history.
  5. Under Keep the context, record a note or call outcome. Enter call time in the labelled India time field. Use Add a correction with a reason when a saved note or call needs correcting; the original remains visible.
Before you continue
Importing creates real workspace records. Start with fictional or permitted data. Retrying the same import preview cannot duplicate a committed batch. After a lost response, inspect its result before preparing another import.

Linking two records for the same person preserves their separate histories and can be reversed. It is not a merge or deletion. Customer records referenced by deals or quotations cannot simply be deleted. Ask your manager about the intended retention scope before promising erasure.
